Minimum Requirements:
â Experience: Minimum 5 years in a secretarial/administrative role within civil engineering or construction.â Education: Office Administration Qualification (Advantageous).
â Technical Skills: Advanced proficiency in MS Office Suite.
â Other Requirements:
- Valid Code EB Drivers License & own vehicle.
- Willingness to travel within Gauteng and neighboring provinces.
- Strong organizational, communication, and interpersonal skills.
- Excellent report writing and administrative capabilities.
- Experience in tendering processes.
Key Responsibilities:
Office Administration:
- Handling document management, inter-office deliveries, and invoicing.
- Ordering and managing office supplies.
- Diary management, travel arrangements, and meeting coordination.
- Minute-taking and distribution.
- Filing & records management as per QMS standards.
- Capturing timesheets on Proman and processing leave on ESS.
- Preparing PowerPoint presentations and processing invoices.
- Performing reception duties and supervising domestic staff.
- Tracking and reconciling petty cash.
- Assisting with office maintenance, social events, and printing/binding documents.
- Attending tender briefings and client meetings across Gauteng and beyond.
- Vision system administration and general correspondence.
Tendering Duties:
- Compiling and submitting supplier database applications.
- Attending tender briefings, taking minutes, and updating tender schedules.
- Liaising with Head Office & Business Development for briefing attendance.
- Downloading and managing tender documents and deadlines.
- Assisting in tender compilation, coordination, and submission.
- Managing tender-related correspondence and milestone tracking.
