Key responsibilities include:

  • Team Supervision & Mentorship: Supervises, trains, and mentors the Property and Facilities Coordinator. Delegates tasks, monitors performance, and provides feedback.
  • Operational Oversight: Oversees daily operations, ensuring preventative maintenance schedules are followed, repairs are completed promptly, and tenant requests are addressed efficiently.
  • Tenant Communication & Relations: Serves as the primary point of contact for tenants regarding facilities-related issues. Responds to inquiries, handles complaints, and ensures tenant satisfaction.
  • Vendor Management: Manages relationships with vendors, obtains quotes, negotiates contracts (with FM approval), and oversees the quality of their work.
  • Project Management: Assists the Facilities Manager with planning and coordinating facilities projects, including renovations, upgrades, and repairs. Manages smaller projects independently.
  • Maintenance Management: Develops and implements preventative maintenance schedules, tracks work orders, and ensures timely completion of repairs. May perform some hands-on maintenance tasks as needed.
  • Safety & Compliance: Ensures properties are maintained in a safe and compliant manner. Conducts regular safety inspections and addresses any hazards.
  • Budget Tracking & Reporting: Monitors expenses related to facilities operations and provides regular reports to the Facilities Manager.

Qualifications:

  • Associate's degree in a related field or equivalent experience preferred.
  • Proven experience (typically 3+ years) in property or facilities management.
  • Strong understanding of building systems, maintenance procedures, and safety regulations.
  • Excellent communication, interpersonal, and problem-solving skills.
  • Ability to multitask, prioritize, and manage multiple projects simultaneously.
  • Proficiency in relevant software and technology.
