Key responsibilities include:
- Team Supervision & Mentorship: Supervises, trains, and mentors the Property and Facilities Coordinator. Delegates tasks, monitors performance, and provides feedback.
- Operational Oversight: Oversees daily operations, ensuring preventative maintenance schedules are followed, repairs are completed promptly, and tenant requests are addressed efficiently.
- Tenant Communication & Relations: Serves as the primary point of contact for tenants regarding facilities-related issues. Responds to inquiries, handles complaints, and ensures tenant satisfaction.
- Vendor Management: Manages relationships with vendors, obtains quotes, negotiates contracts (with FM approval), and oversees the quality of their work.
- Project Management: Assists the Facilities Manager with planning and coordinating facilities projects, including renovations, upgrades, and repairs. Manages smaller projects independently.
- Maintenance Management: Develops and implements preventative maintenance schedules, tracks work orders, and ensures timely completion of repairs. May perform some hands-on maintenance tasks as needed.
- Safety & Compliance: Ensures properties are maintained in a safe and compliant manner. Conducts regular safety inspections and addresses any hazards.
- Budget Tracking & Reporting: Monitors expenses related to facilities operations and provides regular reports to the Facilities Manager.
Qualifications:
- Associate's degree in a related field or equivalent experience preferred.
- Proven experience (typically 3+ years) in property or facilities management.
- Strong understanding of building systems, maintenance procedures, and safety regulations.
- Excellent communication, interpersonal, and problem-solving skills.
- Ability to multitask, prioritize, and manage multiple projects simultaneously.
- Proficiency in relevant software and technology.
