Food and Beverage Administrator

Key Responsibilities:

  • Assist with administrative duties such as managing schedules, processing orders, and maintaining documentation for the food and beverage department.
  • Maintain accurate records of stock levels, inventory orders, and supplies for both front and back-of-house operations.
  • Monitor and update food and beverage inventory, ensuring that stock is well-organized and items are used efficiently.
  • Assist in the preparation of food and beverage reports, tracking sales, costs, and inventory consumption.
  • Ensure that all invoices, purchase orders, and receipts are processed and filed accurately.
  • Support the team with the preparation of weekly or monthly stocktakes and assist with reconciling stock discrepancies.
  • Liaise with suppliers and vendors to ensure timely deliveries and resolve any supply issues.
  • Help with the management of food and beverage budget and cost control by tracking departmental expenses and operational costs.
  • Coordinate with the kitchen and service teams to ensure smooth communication and supply chain operations.
  • Provide general administrative support to the Food and Beverage Manager and other team members as required.

Qualifications & Experience:

  • Minimum of 2 years experience in an administrative or coordination role, preferably in the food and beverage or hospitality industry.
  • Basic knowledge of food and beverage operations and inventory control.
  • Proficient in Microsoft Office Suite, particularly Excel; familiarity with POS or food management systems is a plus.
  • Strong organizational skills with a keen attention to detail.
  • Excellent communication skills and the ability to work well with different teams.
  • Ability to work independently and manage multiple tasks simultaneously.
  • Professional demeanor and a proactive attitude toward problem-solving.
