Minimum requirements:

  • Bachelors degree in business administration, Communications, or a related field preferred.
  • Minimum of 2 years of experience in an administrative support role, preferably in a corporate setting
  • Administrative Support:
  • Assist the Executive PA with day-to-day administrative tasks
  • Manage phone calls, emails, and correspondence on behalf of the Executive PA
  • Scheduling and Coordination:
  • Help organize and maintain the executives calendar, including scheduling meetings, appointments, and travel arrangements
  • Coordinate logistics for meetings, including booking venues, arranging catering, and preparing meeting materials
  • Ensure all necessary arrangements for executive travel, including itinerary planning, transportation, and accommodations
  • Information Management:
  • Maintain and update confidential files and records
  • Assist in the preparation of reports and presentations for executive meetings
  • Manage databases and filing systems to ensure easy retrieval of information
  • Communication
  • Act as a liaison between the Executive PA and internal/external stakeholders
  • Draft, proofread, and edit communications as required
  • Ensure timely and effective communication between the executive office and other departments
  • Special Projects
  • Assist with special projects as directed by the Executive PA
  • Conduct research and gather information for various initiatives and reports
  • Support the planning and execution of corporate events and functions
  • General Office Duties
  • Order and maintain office supplies
  • Ensure the executive office is tidy and well-organized
  • Perform other duties as assigned by the Executive PA or executive team
  • Excellent organizational and time management skills
  • Strong written and verbal communication skills
