Receptionist

Purpose of the Role:

To provide a warm, professional first point of contact for visitors and clients, while efficiently handling front-desk operations and supporting administrative functions across the business.

Key Responsibilities:

  • Greet and welcome visitors, clients, and staff in a friendly and professional manner.
  • Answer and direct incoming phone calls promptly and accurately.
  • Manage the company’s reception area to ensure it is tidy, presentable, and professional at all times.
  • Receive, sort, and distribute mail and deliveries.
  • Manage appointment scheduling and meeting room bookings.
  • Provide general administrative support such as filing, photocopying, scanning, and data entry.
  • Maintain office supplies inventory and place orders when necessary.
  • Assist with onboarding of visitors and issuing of security badges or passes (if applicable).
  • Handle queries or direct them to the appropriate departments.
  • Maintain confidentiality and follow office protocols.

Qualifications Required:

  • Matric (Grade 12) required.
  • Diploma or certificate in Office Administration or similar (advantageous).
  • Training in telephone etiquette or customer service is a plus.

Experience:

  • 1–3 years of experience in a receptionist, front-desk, or administrative role.
  • Experience with phone systems and office equipment (e.g., printers, copiers).
  • Proficient in Microsoft Office (Word, Excel, Outlook).
  • Previous experience in a corporate or professional environment preferred.

  • Office-based, typically Monday to Friday, 8:00 AM to 5:00 PM.
  • May require occasional overtime for events or special meetings.
  • Based at the company’s main office or reception area.
