POSITION OVERVIEW:Job Title: HR Administrator

Job Type: Full-Time
Location: Onsite, Pinelands Cape Town

Hours: Monday -Friday with flexibility to work USA/SAST as and when needed

We are seeking a detail-oriented and organized HR Administrator to support our HR team in managing daily administrative tasks, maintaining employee records, and assisting with recruitment, onboarding, and payroll processes. The ideal candidate will be adept at multitasking in a fast-paced environment while ensuring compliance with HR policies and labor regulations.

POSITION RESPONSIBILITIES:

Key Responsibilities:

  • HR Administrative Support:
  • Assist the HR Officer and HR Manager with day-to-day HR operations.
  • Maintain and update employee records, ensuring accuracy and confidentiality.
  • Coordinate with internal and external stakeholders to support HR functions.
  • Recruitment Assistance:
  • Schedule interviews and communicate with candidates as needed.
  • Track the recruitment process and assist with offer letters and new hire documentation.
  • Maintain recruitment databases and relevant records.
  • Onboarding & Offboarding:
  • Assist in onboarding new employees, including document collection, orientation preparation, and file setup.
  • Support the offboarding process by handling exit paperwork and ensuring record updates.
  • Record Keeping & Compliance:
  • Maintain HR filing systems (both digital and physical) to ensure employee documentation is up-to-date.
  • Assist in audits and ensure compliance with company policies and legal regulations.
  • Employee Data Management:
  • Manage attendance, leave records, and other employee-related data.
  • Prepare basic HR reports and summaries for management.
  • HR Communication & Coordination:
  • Assist in organizing HR-related events, training sessions, and policy updates.
  • Coordinate internal HR communications, announcements, and notifications.
  • Payroll Support:
  • Assist in preparing payroll-related data, ensuring accuracy in timesheets, leave balances, and employee records.
  • Liaise with the payroll department to provide necessary inputs for salary processing.
  • General Administrative Duties:
  • Respond to HR-related queries and coordinate with vendors.
  • Provide administrative support for HR meetings, including scheduling and taking minutes.
  • Assist with maintaining office supplies and general administrative duties

  • Diploma or Degree in Human Resources, Business Administration, or a related field.
  • 2-3 years of experience in an HR administrative or support role.
  • Experience with HR databases and software systems.
  • Familiarity with South African labor laws and HR compliance is an advantage.
  • Excellent organizational and time management skills.
  • Strong attention to detail and accuracy.
  • Proficient in Microsoft Office (Excel, Word, Outlook).
  • Ability to handle confidential information with discretion.
  • Strong communication and interpersonal skills.
  • Ability to thrive in a fast-paced environment while managing multiple tasks.

PHYSICAL REQUIREMENTS:This job operates in a professional office environment. While performing the duties of this job, the employee will be largely sedentary and will be required to sit/stand for long periods while using a computer and telephone headset.

The employee will be regularly required to operate a computer and other office equipment, including a phone, copier, and printer. The employee may occasionally be required to move about the office to accomplish tasks; reach in any direction; raise or lower objects, move objects from place to place, hold onto objects, and move or exert force up to forty (40) pounds.
