- Greet clients and visitors with professionalism and courtesy.
- Answer, screen, and direct incoming calls promptly and accurately.
- Manage and maintain the reception area, ensuring it is clean and organized.
- Schedule client appointments and maintain accurate records.
- Assist clients with inquiries, ensuring a positive experience.
- Handle incoming and outgoing mail, including confidential documents, with discretion.
- Assist with preparation of correspondence, reports, and client documents.
- Manage meeting room bookings and ensure they are ready for use.
- Coordinate office supplies and place orders as needed.
- Perform data entry and update internal databases with accuracy.
- Liaise with accounting staff and other departments to coordinate schedules.
- Communicate updates or changes to appointments and meetings effectively.
- Support the team with additional administrative tasks as needed.
- Matric; additional qualifications in administration or customer service are an advantage.
- Prior experience as a receptionist, front desk professional, or administrative assistant, preferably in a professional services environment.
- Excellent communication and interpersonal skills. (Must be fluent in English and Afrikaans)
- Strong organizational abilities with attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with office management software.
- Professional appearance and demeanor.
- Ability to handle sensitive information with confidentiality and discretion.
