Job Title: Receptionist / Admin Assistant
Location: Pomona, Kempton Park
Salary: R8,000 per month

Reports to: Office Manager / Operations Manager

Our client, a well-established company specialising in Freight Forwarding, is based in Pomona, Kempton Park, is seeking a professional and friendly Receptionist/Admin Assistant to join their team. This is an excellent opportunity for an organized individual with a strong customer service focus, offering support in both administrative and front-of-house functions.

Position Overview:

The Receptionist/Admin Assistant will be the first point of contact for clients, visitors, and callers, offering a professional and welcoming presence. In addition to reception duties, the role will involve various administrative tasks to support the office operations.

The ideal candidate will have strong organizational and communication skills, as well as the ability to multitask in a fast-paced environment.

Key Responsibilities:

  • Reception Duties:
  • Greet visitors, clients, and customers in a professional and friendly manner.
  • Answer incoming calls, redirect calls as necessary, and take accurate messages.
  • Maintain the reception area in a tidy and organized manner.
  • Assist with basic queries and direct visitors to the appropriate departments.
  • Administrative Support:
  • Provide general administrative support to various departments as required.
  • Assist with scheduling appointments and coordinating meetings.
  • Handle correspondence, filing, and data entry tasks.
  • Assist with managing office supplies and maintaining inventory levels.
  • Mail and Courier Management:
  • Receive and sort incoming mail and packages.
  • Manage outgoing mail and coordinate with courier services for deliveries.
  • Document Management:
  • Assist with organizing and filing documents, both physical and electronic.
  • Ensure that confidential documents are handled securely and appropriately.
  • Office Maintenance Support:
  • Coordinate and maintain the office’s day-to-day operations, ensuring smooth functionality.
  • Assist with the management of office utilities and facilities where needed.

Key Requirements:

  • Educational Qualifications:
  • Matric (Grade 12) or equivalent (essential).
  • A certificate or qualification in office administration or a related field (desirable but not essential).
  • Experience:
  • Minimum of 1-2 years of experience in a reception or administrative support role.
  • Prior experience in a customer-facing role will be beneficial.
  • Skills & Competencies:
  • Strong verbal and written communication skills.
  • Excellent organizational and time management abilities.
  • Proficiency in Microsoft Office (Word, Excel, Outlook) is essential.
  • A customer-focused attitude and the ability to maintain professionalism at all times.
  • Ability to multitask and manage competing priorities in a fast-paced environment.

  • A friendly, approachable demeanor with a professional appearance.
  • Reliable, punctual, and able to work independently.
  • Proactive and willing to take initiative to improve office processes.
  • Ability to maintain confidentiality and handle sensitive information with discretion.

Additional Information:

  • Working Hours: Monday to Friday, 8:00 AM – 5:00 PM.
  • Location: Pomona, Kempton Park. Candidates must be based in or willing to relocate to the area.
  • Reports to: Office Manager / Operations Manager.
